Operations Associate

A branded initiative of the Central Indiana Corporate Partnership (CICP), an Indiana nonprofit, Ascend collaborates with corporate, education, philanthropic, and community partners, and is well-positioned to play a leadership role in addressing Central Indiana’s workforce challenges.

The Operations Associate will perform full secretarial, administrative, and broad support activities for the President & CEO and the senior leadership team. The Operations Associate will proactively manage time and support the work effectiveness of the CEO. In addition, the Operations Associate will support efforts around human assets, board management, and project implementation. This includes supporting high priority initiatives, projects, internal and external activities, media, and events as assigned.

To be successful in this role you must be…

A strategic thinking and ruthless prioritizer motivated to provide logistical support to the CEO and senior leadership team.

  • You will collaborate with the CEO to ensure they are dedicating time and energy to the highest priority meetings and tasks for the organization.
  • You coordinate the planning, scheduling, and logistics of the CEO’s meetings and appointments in coordination with other key stakeholders.
  • You will work alongside team members to address scheduling conflicts as they arise.
  • You prepare and edit correspondence, reports, and presentations as needed.
  • You plan and schedule board and executive committee meetings and manage meeting logistics and materials alongside the Leadership Team, meeting hosts, and external vendors.
  • You provide additional support to CEO and Leadership Team as requested.

Energized by supporting the day-to-day operations of the organization and office space alongside CICP.

  • You lead monthly time tracking and reporting for all Ascend staff to ensure time is properly allocated for non-profit and for-profit activities.
  • You manage the execution and approval of monthly staff expense reimbursements, credit card reconciliations, and vendor invoices.
  • You monitor and manage Ascend and CICP-shared conference spaces alongside CICP’s Office Manager.
  • You maintain office efficiency by planning and implementing office systems, layouts, and equipment alongside the senior leadership team, CICP, and external vendors.
  • You lead the implementation of new office systems and technology as needed.
  • You work alongside CICP and cross-functional staff to ensure a smooth transition to 16Tech.
  • You support CICP in the ongoing implementation and management of systems and structures.

Driven by supporting the onboarding and engagement of Ascend Indiana staff.

  • You provide support in onboarding new team members to the Ascend office space, systems, and processes ensuring that they have the technology and tools they need to be successful.
  • You coordinate the scheduling of team activities alongside the senior leadership team and other staff.
  • You support scheduling, logistics, and preparation for leadership team meetings and retreats, staff meetings and retreats, and other internal meetings or events alongside cross-functional staff.

  • You break down goals and develop weekly, quarterly, and yearly plans to achieve organizational objectives.
  • You manage and report against goals, priorities, and objectives to the President and CEO.

Minimum Qualifications

  • Undergraduate degree preferred.
  • Excellent project management skills.
  • A detail-oriented self-starter who can be given a need or objective, break it down into executable pieces, identify questions that need to be asked, gather priorities and requirements, set and manage to milestones and then execute very effectively.
  • Demonstrated track record of success in executing ambitious strategic initiatives.
  • Demonstrate ethical handling of confidential information.
